Terms and Conditions
Last updated: 30 October 2026
These terms are an agreement between you and WESOLVERS LTD ("Sondeas", "we", "us"), a company registered in United Kingdom (company number 11797268), Kemp House, 152 - 160 City Road, London EC1V 2NX, United Kingdom. They apply to the Sondeas website, the web app, the Android and Mac apps and the browser extension (together, "the service").
1. Acceptance of terms
By creating an account or using the service you accept these terms and the privacy policy. If you use Sondeas for an organisation, you accept them on its behalf and confirm you are allowed to. If you do not agree, do not use the service.
2. Description of service
Sondeas turns speech into usable text. You can record in the browser or the apps, or upload audio and video, and get a timestamped transcript with speakers. From it Sondeas makes AI outputs such as notes, summaries, action items, letters, translations and spoken audio (voiceover). Clinical features (dictation, templates, review, sign and lock, letters, practice workspaces) are documentation support for clinicians: Sondeas drafts, a clinician reviews and signs. Sondeas is not a medical device and does not give diagnoses or treatment advice. We may add, change or remove features, models and integrations.
3. Accounts and eligibility
You must be at least 18 years old, or the age of majority where you live, to create an account. Keep your sign-in details safe, keep your contact and billing details accurate, and tell us straight away at [email protected] if you think someone else has used your account. If you set a privacy passphrase, only you hold the key to your encrypted notes: we cannot recover them if you lose both the passphrase and your recovery key.
4. Plans, minutes and purchases
4.1 Plans, free trial and pay-as-you-go
- The unit. One minute is one minute of audio, with or without speakers. Every note, summary, letter, rewrite and answer made from that audio is included, under fair use. Voiceover counts the seconds of speech it generates. Translating speech counts as audio. Jobs that fail use nothing.
- Free trial. Pro, Clinician and Clinician Max, founding prices included, start with 7 free days. You need a card to start. The trial includes 5 fast hours; after that, transcription carries on at standard speed, and unused trial hours do not carry over. We take the first payment on day 8 unless you cancel first, and cancelling during the trial costs nothing. One trial per person: an account that has held a plan or a trial does not get another, and neither does a card that started a trial on another account. If your card already started a trial, we cancel the new subscription without charging you, and you can then buy the plan without a trial. Pay-as-you-go packs and Practice plans have no free trial.
- Plans (Pro, Clinician, Clinician Max and Practice) renew automatically each month or each year until you cancel. Each plan includes a number of fast hours every month; when they run out, transcription carries on at standard speed, so a plan never stops working. Yearly billing costs less per month than monthly billing; both prices are on the pricing page. Practice plans are billed per clinician seat and per secretary seat, with a minimum of 3 seats, and the fast hours of the seats are pooled.
- Pay-as-you-go hour packs never expire. Plan holders get 20% off packs. A promotional bonus does not add up with that discount: the larger of the two applies.
- Founding price. Clinicians who subscribe before the founding end date shown on the pricing page keep the founding price for as long as their subscription stays active.
4.2 Prices, taxes and payment
The price, currency, billing period and what is included are shown on the pricing page and again at checkout before you pay. Prices in euros and pounds include VAT; prices in US dollars are shown before tax, and any tax is added at checkout. Payments are handled by Stripe. You can download your invoices from your account. We may change prices for new purchases; if we change the price of your plan, we will tell you before it applies to your next renewal, and you can cancel before then.
4.3 What you see at checkout
The pricing page, the checkout screen and your invoice describe your purchase and form part of these terms for it. If they differ from these terms, the checkout screen and invoice apply to that purchase.
4.4 Refunds
- 14-day money-back on plans. If you are not happy, ask for a refund within 14 days of the first payment of any plan and we refund that payment in full. On a plan with a free trial, the first payment is the one on day 8, so the 14 days run from that payment. This applies once per plan per customer, to the first payment only; renewals are not refundable, but you can cancel at any time and keep the plan until the end of the period you paid for.
- Hour packs can be refunded within 14 days of purchase if you have not used any of their minutes.
- To ask for a refund, write to [email protected] from the email address of your account. Refunds go back to the original payment method.
These rules do not limit any rights you have under the law where you live.
4.5 Taxes
Apart from the VAT or sales tax shown at checkout, you are responsible for any duties or fees that apply to you. We collect and pay taxes where the law requires us to.
4.6 Right of withdrawal (consumers in the UK and the EU)
If you buy as a consumer in the UK or the EU, you have the right to withdraw from a purchase within 14 days without giving a reason. The service is digital and starts as soon as you pay or, on a plan with a free trial, as soon as the trial starts, so at checkout you ask us to start straight away and acknowledge that you lose the right of withdrawal once the purchase has been fully used. If you withdraw within 14 days after part of it has been used, we refund the payment minus the share you used. In any case, the money-back rules in section 4.4 give you at least the same. To withdraw, write to [email protected], including your account email and the purchase.
5. Acceptable use
Use Sondeas lawfully. In particular:
- Get the consent the law requires before you record other people. In a clinical setting, consent is recorded for each consultation, and a patient's objection stops the recording.
- Do not upload illegal content or content you do not have the right to use, and do not infringe anyone's intellectual property or privacy.
- Do not try to break, overload, reverse-engineer or get around the limits or security of the service, and do not resell it without our written agreement.
We may suspend or close accounts that harm other users, our systems or other people.
6. Your content and our platform
You own what you record, upload and write, and the outputs made from it. You give us a limited licence to store and process your content only to provide the service to you, including sending it to the providers listed in the privacy policy for the task you ask for. We do not use your content to train our own models. We own the Sondeas software, design and brand.
7. AI outputs and clinical use
Transcripts and AI outputs can contain mistakes. Check them before you rely on them. In clinical use, every draft must be reviewed and signed by a clinician, who stays responsible for the record. Suggested codes are suggestions only. Sondeas does not offer a business associate agreement (HIPAA).
8. Beta features and feedback
Some features are marked beta. They may be incomplete and may change or stop. If you send us feedback, we may use it to improve Sondeas without paying you for it.
9. Disclaimer of warranties
We work hard to keep Sondeas reliable, but the service is provided "as is" and "as available". As far as the law allows, we make no other promises, including that the service will be uninterrupted or error-free, or fit for a particular purpose. Nothing in these terms limits the rights a consumer has by law.
10. Limitation of liability
As far as the law allows, we are not liable for indirect or consequential loss, or for lost profits, revenue, data or goodwill. Our total liability to you for anything to do with the service is limited to the amount you paid us in the 12 months before the claim. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
11. Suspension and termination
We may suspend or close your account if you break these terms, if the law requires it, or to protect the service or others from fraud, abuse or security risks. We will tell you why unless the law or security prevents it. You can stop using Sondeas and delete your account at any time from Settings; cancelling a plan takes effect at the end of the period you paid for. Unused pay-as-you-go minutes are refunded only as section 4.4 describes.
12. Changes to the service and these terms
We improve Sondeas often and may change or remove features. If we change these terms in a way that matters to you, we will tell you by email or in the app before the change applies. If you do not agree, you can cancel and stop using the service before then.
13. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction. If you are a consumer, you also keep the protection of the mandatory laws of the country where you live and can bring a claim there.
